今天來(lái)聊聊常見(jiàn)的英文郵件寫(xiě)作誤區(qū),以及正確的寫(xiě)作模板。
1.奇怪的語(yǔ)氣
英文當(dāng)中文講,很多咱中國(guó)童鞋寫(xiě)的郵件都是拿中文里的語(yǔ)氣直接翻譯過(guò)來(lái)的,寫(xiě)在英文里就很奇怪。
例如:
I applied for the Summer Analyst position at your company's New York office and still haven’t gotten any notice from you. Your company has been my dream employer for years, so it would be a pity if I didn’t have a chance to interview with your company.
看到這里立刻能腦補(bǔ)一個(gè)畫(huà)面:一個(gè)中國(guó)童鞋一臉虔誠(chéng)的說(shuō)“我真的特別喜歡你們公司,如果沒(méi)能跟你們公司面試真的是太遺憾了!”
這話中文聽(tīng)著多有誠(chéng)意啊,但直接翻譯成英文就覺(jué)得超級(jí)無(wú)敵囧。如果你想表達(dá)相似的意思,不妨試試這么說(shuō):
I wanted to follow-up with you because I have not yet heard back regarding my application status. Your company is my first choice, so I would greatly appreciate the opportunity to interview with your team.
這樣說(shuō)比較符合美國(guó)的書(shū)面郵件說(shuō)法,而且顯得很淡定。
命令的語(yǔ)氣,很多同學(xué)在郵件里附上自己簡(jiǎn)歷之后會(huì)扔一句“Please review my resume”給我,感覺(jué)跟大老板扔了一沓兒材料在我臉上似的。下次換個(gè)客氣一點(diǎn)的語(yǔ)氣好嗎?比如這樣:
I would greatly appreciate any advice you have on refining my resume for opportunities in this field.
2.要命的語(yǔ)法錯(cuò)誤
我這里說(shuō)的是最最最普通的語(yǔ)法錯(cuò)誤,拎個(gè)小學(xué)生過(guò)來(lái)都能挑出來(lái)一籮筐那種。
例如:
Hi : I found your contact information from alumni directory. Pleaseallow me introducing myself firstly.My name is XXX, MSF student from University of YYY. I will graduate from my Master degree from University of YYYwith major in Finance. I`m seeking forentry- position in finance industry. May I know whether your company hasopening positions or has plan to recruit in your group? Thanks for your time. I`mlooking forward to hearfrom you soon.

我可以很負(fù)責(zé)任的告訴你,大多數(shù)美國(guó)的HR或者職場(chǎng)人收到這封郵件的人都會(huì)直接忽略的。原因就是那些無(wú)謂的語(yǔ)法錯(cuò)誤。
好多童鞋覺(jué)得這些都是小事,不就是少了個(gè)a,to do換成doing,怎么那么矯情,能看懂意思不就完了嗎?對(duì)于求職來(lái)講,只要簡(jiǎn)歷滿足要求,不會(huì)有人在意這些小細(xì)節(jié)的。但是多數(shù)HR或者職場(chǎng)人士看到這個(gè)檔次的郵件就直接pass了,簡(jiǎn)歷都不會(huì)打開(kāi)看一眼的。這么短一封郵件,你完全可以查到100%無(wú)錯(cuò)誤再發(fā)。
你對(duì)自己求職都這么不上心,我怎么指望你給我工作更上心?
3.請(qǐng)端住你的Professional范兒
好多女生寫(xiě)郵件很可愛(ài),會(huì)很激烈的表達(dá)自己很激動(dòng)的心情,比如會(huì)寫(xiě)什么“I feel so lucky to find you to talk! I have hope again!!!…“一堆感嘆號(hào)看的人三滴汗。其實(shí)完全可以淡定的寫(xiě)成I am excited to connect with you就足夠表達(dá)你的心情了。感嘆號(hào)也盡量少用,用多了感覺(jué)你還是個(gè)熱血少年,不是職場(chǎng)中人。
再有就是一定要避免用^^ T_T或者~~之類(lèi)的聊天經(jīng)常用的表情。如果寫(xiě)給朋友倒沒(méi)什么大問(wèn)題。如果你是寫(xiě)給職場(chǎng)上的人,這些都是挺不專業(yè)的,讓人覺(jué)得你不夠成熟。
4.郵件內(nèi)容太長(zhǎng)
給職場(chǎng)中人寫(xiě)英文郵件(尤其是為了找工作找實(shí)習(xí)跟素未謀面的人聯(lián)系),切忌太長(zhǎng)。
對(duì)于求職郵件(比如networking發(fā)給校友的郵件)這里給大家一個(gè)準(zhǔn)則:如果你的郵件多于10句話,你就不要發(fā)了。人家本來(lái)就不認(rèn)識(shí)你,如果20秒讀不完你的郵件,不知道你到底要干嘛,就直接pass了,畢竟大家都很忙。
在求職中很多同學(xué)把cover letter當(dāng)networking郵件發(fā),三大段兒,跟生平似的,把簡(jiǎn)歷里的內(nèi)容重復(fù)一遍,一點(diǎn)額外信息都沒(méi)有,這又是何必呢?你應(yīng)該說(shuō)一些簡(jiǎn)歷里說(shuō)不出來(lái)的,比如為什么想聯(lián)系對(duì)方,為什么對(duì)這家公司感興趣。
如何拯救你的英文郵件?
首先應(yīng)該遵循寫(xiě)郵件的“3C原則”:
Deliver a Clear message
Use Correct grammar, vocabulary and punctuation
Be Concise
所以3C原則就是clear 清晰,correct 正確,concise 簡(jiǎn)明。記住重點(diǎn)在于更有效的傳達(dá)信息,而不是用你豐富的詞匯量給對(duì)方留下印象,用更簡(jiǎn)單的句型和清晰的組織來(lái)使你寫(xiě)的東西更易讀。
曾經(jīng)有調(diào)查表明,80%的Cold Email都取決于你的主題。但是,有人不寫(xiě)主題欄;有的人就寫(xiě)一個(gè)詞:help, Hi, advice;有的人就寫(xiě)些不知所云的詞:New Things什么的……
也許很多人沒(méi)有意識(shí)到,Email的標(biāo)題是很重要的一部分,郵件給對(duì)方的第一印象就是透過(guò)標(biāo)題來(lái)完成。如果標(biāo)題沒(méi)有內(nèi)容,看起來(lái)像群組垃圾郵件,命運(yùn)就是直接進(jìn)入垃圾桶。你想想,自己收到這些主題的郵件,不會(huì)當(dāng)成垃圾郵件直接刪掉嗎?
舉例:
不專業(yè)標(biāo)題:How are you?
專業(yè)標(biāo)題:Introduction: Our Product Offerings for Bright Ideas Imports
不專業(yè)標(biāo)題:Can we work together?
專業(yè)標(biāo)題:Proposal: Bright Ideas Imports—ABC‘s Partnership Opportunity
解決方法很簡(jiǎn)單,主題欄就在下面這幾個(gè)模板里面選就好了:

1.親切自然:可以用We就不要用You
每一封email往來(lái),都是你和與收信人之間的交流。很多人以為寫(xiě)商業(yè)email就應(yīng)該用「生意腔」,于是把本來(lái)有感情基礎(chǔ)的email寫(xiě)得官樣。
把每次email往來(lái)當(dāng)成是跟對(duì)方進(jìn)行了一次交談,只不過(guò)交談的介面是email。用我/我們做主詞,這樣才能讓email讀起來(lái)熱情、友善,像朋友交談那樣簡(jiǎn)單自然,親切又人性化。
官樣e-mail:Your mail has been received.
親切e-mail:I have received your mail.
官樣e-mail:Your complaint is being looked into.
親切e-mail:We are looking into your complaint.
官樣e-mail:You will receive your computer by next week.
親切e-mail:We are happy to have your order. We shipped it by July 21.
2.一針見(jiàn)血:可以清楚就不要模糊
寫(xiě)email最忌諱文縐縐,要打電話給人就用call,要去拜訪人就說(shuō)visit,不要刻意用自以為正式但其實(shí)意思模模糊糊的字。
模糊字:contact
清楚字:call/write/visit
模糊字:soon
清楚字:by March 15
3.言簡(jiǎn)意賅:可以1個(gè)字就不要2個(gè)
大部份商業(yè)人士跟你一樣,每天都要閱讀大量email。所以email一定要寫(xiě)得簡(jiǎn)明扼要。與主題無(wú)關(guān)或者無(wú)助于e-mail目的之內(nèi)容,請(qǐng)毫不留情的舍棄。
冗長(zhǎng)句:The paper jam had the effect of a destructive force onthe copy machine.
精簡(jiǎn)句:The paper jam destroyed the copy machine.
冗長(zhǎng)句:We have enclosed a brochure which shows further details of manufacture.
精簡(jiǎn)句:The enclosed brochure shows further manufacture details.
4.語(yǔ)匯樸實(shí):用對(duì)方看得懂的關(guān)鍵字
每個(gè)行業(yè)都有自己的行話,寫(xiě)email時(shí)要確定別人懂不懂你的行話,也盡量不用華麗詞藻。西方人習(xí)慣使用樸實(shí)的語(yǔ)言。
迂回句:We look forward to a bright and glorious future of cooperation.
樸實(shí)句:We hope to have the opportunity to work with you inthe future.
迂回句:The choice of exogenous variables in relation tomulti-collinearity is contingent upon the derivations of certain multiple correlation coefficients.
樸實(shí)句:Supply determines demand.
5.技巧表達(dá):讓人覺(jué)得you’re helpful
同樣一件事說(shuō)法不同,得到回應(yīng)就不同,有技巧的說(shuō)法讓人樂(lè)于為你效勞。
拙劣說(shuō)法:In order to complete the claim you made, simply…
漂亮說(shuō)法:To complete your transaction,…
拙劣說(shuō)法:We want to get our check.
漂亮說(shuō)法:To keep your account in the preferred customer class,send our check for NT$200,000 today.
郵件常用句型
1. 開(kāi)場(chǎng)白:

當(dāng)你給陌生人寫(xiě)信,尤其是請(qǐng)求協(xié)助,提出要求或者詢問(wèn)事項(xiàng)時(shí),Thank You是收尾的好選擇;
Yours or Yours Truly or Truly一般用于你之前見(jiàn)過(guò)面的對(duì)象;
Best or Best Wishes:日常交往或者商務(wù)場(chǎng)合都可以用,是一種禮貌的方式;
Sincerely or Sincerely Yours or Yours Sincerely :日常交往,商務(wù)往來(lái)或者正式文書(shū)都可以使用,是標(biāo)準(zhǔn)的結(jié)尾方式。如果不確定怎么結(jié)尾署名,就用sincerely;
Regards or Best Regards :如果你和收信人沒(méi)有在現(xiàn)實(shí)中打過(guò)交道,就用這個(gè);
Cordially 在商務(wù)談判場(chǎng)合,當(dāng)信件話題很?chē)?yán)肅的時(shí)候使用。有時(shí),當(dāng)你和收件人之間有分歧或者沖突的時(shí)候,可以使用。
PS: 在正式場(chǎng)合使用一個(gè)隨和的結(jié)尾并不一定意味著什么不恰當(dāng)?shù)氖虑椤S械臅r(shí)候,這樣做可以顯得你很自信,談話很隨和。然而,這樣做之前請(qǐng)了解一下對(duì)方是不是喜歡這種隨和的方式。
